Setting up the Suggestion Ox Microsoft Teams App

Suggestion Ox can post new anonymous submissions, replies, public responses, and recurring reminders into the Microsoft Teams channels you choose.


BEFORE YOU BEGIN


You need an active Suggestion Ox account. A Suggestion Ox organization administrator must connect and configure the installation. In Teams, you must be a team owner or a member who is allowed to add apps. A Teams administrator is only needed if your organization blocks the app.


INSTALL SUGGESTION OX IN MICROSOFT TEAMS


  1. Sign in to Suggestion Ox at https://app.suggestionox.com/integrations and open Integrations.
  2. Find Microsoft Teams App and select Set up Microsoft Teams.
  3. Follow the Microsoft sign-in prompt, then choose the team where Suggestion Ox should be installed. Installing the app in a team makes that team's standard channels available in Suggestion Ox.
  4. In Teams, open the installation message and select Connect this installation.
  5. Confirm the Suggestion Ox organization that owns the installation. For privacy, a Teams channel can belong to only one Suggestion Ox organization.

You can also add Suggestion Ox for yourself. Personal scope gives you access to the bot's help and settings commands, but notifications are delivered only to channels.


ADD PRIVATE OR SHARED CHANNELS


Standard channels become available when you install Suggestion Ox in the parent team. Teams requires private and shared channels to be added separately:


  1. Open the private or shared channel in Teams.
  2. Open Manage channel, then Apps.
  3. Add Suggestion Ox to that channel.
  4. Return to Suggestion Ox and refresh the box's Teams App settings if the channel does not appear immediately.

CHOOSE WHERE NOTIFICATIONS ARE POSTED


  1. In Suggestion Ox, open the box you want to configure.
  2. Select Edit, then Integrations, then Microsoft Teams App.
  3. Choose a destination for each notification type:

• Post reminders to — recurring reminders that invite employees to leave feedback.


• Incoming submissions and replies — new feedback and follow-up replies. Choose a restricted managers-only channel when this content is sensitive.


• Public responses — responses that a manager has made public.


  1. Save your settings.

Nothing is posted to a channel unless you select it in that box's Teams App settings.


SEND A TEST NOTIFICATION


  1. Select and save a channel under Post reminders to.
  2. In the Test your reminder section, select Send test message.
  3. Confirm that the reminder card appears in the selected Teams channel.

USE THE TEAMS BOT


In a personal chat, send a command directly. In a channel, @mention Suggestion Ox with the command.


• help — See what Suggestion Ox can do in Microsoft Teams.


• settings — Open Suggestion Ox to choose which channels receive notifications.


• hi or hello — Show a greeting and the supported commands.


The bot does not store or echo the message text you send it.


TROUBLESHOOTING


The app is blocked or unavailable


Select Request approval on the Suggestion Ox page in Teams, or ask your Teams administrator to allow Suggestion Ox under Teams apps > Manage apps.


The team is not listed


You must be a team owner or a member who is allowed to add apps. Ask a team owner to install Suggestion Ox if the team is not offered.


A channel is missing


Wait for Teams to confirm the installation, then refresh the box's Teams App settings. For a private or shared channel, make sure Suggestion Ox was added directly to that channel.


Notifications are not arriving


Confirm that the Teams App integration is enabled for the box, that the intended channel is selected and saved, and that Suggestion Ox is still installed in that team or channel. Then send a test reminder.


CURRENT LIMITATIONS


• An active Suggestion Ox account is required to configure notifications.


• Only a Suggestion Ox organization administrator can connect an installation.


• Notification channels are chosen in Suggestion Ox, not in Microsoft Teams.


• This version sends notifications from Suggestion Ox into Teams. Submitting feedback from inside Teams is not yet supported.
